Privacy Policy

This Privacy Policy describes how BalanceIt (“we,” “us,” or “our”) handles information when you use:

• our marketing website at balanceit.life;
• our web application at app.balanceit.life;
• our mobile apps for iOS and Android (bundle ID com.balanceit.nine); and
• our macOS desktop app (bundle ID life.balanceit.desktop).

Together, these are the “Services.” By using the Services, you agree to this policy. If you do not agree, please do not use the Services.

Who we are

BalanceIt is operated by V. Selvakumar, trading as Balance NextGen Technology, a GST-registered business in Vellore, Tamil Nadu, India. GSTIN: 33BCRPS0370P1ZY. For privacy questions or requests, contact us at support@balanceit.life or through LinkedIn.

Information we collect

Account and identity

When you sign in with Google, we receive information from Google such as:

• your name;
• your email address;
• a Google account identifier used to authenticate you.

We do not receive or store your Google password. Signing in does not give BalanceIt access to your Gmail, Google Calendar, Google Drive, or Google Fit data.

Optional Google connections

Gmail, Google Calendar, Google Drive, and Google Fit are separate from sign-in. Each one starts only when you choose Connect for that integration. We request only the permission that integration needs. We do not sell Google user data, and we do not use it for advertising.

• Google Drive (notes). If you connect Drive, we can create and read files that BalanceIt creates in a BalanceIt folder in your Drive, typically your notes. We do not request access to the rest of your Drive. The files stay in your Google account. Disconnecting removes BalanceIt’s stored access token. It does not delete those files from your Drive.
• Google Calendar. If you connect Calendar, we read the names of your calendars and, for calendars you select, event title, time, all-day flag, busy or free, and a link back to Google. We do not read event descriptions, guest lists, or locations, and we do not create or edit Google events. Stored event references are removed when you disconnect Calendar.
• Gmail. If you connect Gmail, we search recent mail and read the From, Subject, and Date headers plus the short snippet Google returns with that metadata. We do not request permission to send, delete, or change mail, and we do not store the full message body. When you turn a Gmail feature on, we may store a Capture Inbox candidate (sender, subject, and a short snippet) or a life record that keeps a snippet preview of at most 120 characters, a hash of the subject, and the sender’s domain. If you also turn on task organization and AI features are enabled, the cleaned subject line of a captured message may be sent to our AI provider to suggest a life area. The snippet is not sent. Disconnecting Gmail revokes the stored token and removes the connection. It does not by itself delete Capture Inbox items or life records already saved from mail.
• Google Fit. If Fit is enabled for your account and you connect it, we read daily step totals. We do not read other Fit data types.

Access tokens and refresh tokens for these connections are encrypted at rest. Disconnecting an integration asks Google to revoke that token. You can also remove BalanceIt at any time from your Google Account permissions.

Content you create

When you use BalanceIt, we store the data you choose to enter, including for example:

• tasks, projects, labels, goals, and life-dimension configuration;
• daily tracker logs, self-evaluations, and reviews;
• notes and media you attach to tasks (where enabled on your plan);
• import history if you connect external tools such as Todoist;
• preferences and settings (for example timezone and notification choices);
• dates you choose to remember: your birthday, and birthdays of people you add (for example family or friends).

Device and technical data

• Push notifications (mobile): if you allow notifications, we store a push device token, platform (iOS or Android), and a basic device label so we can send task reminders.
• Local storage: our apps and web client may store session tokens locally so you stay signed in.
• WhatsApp capture (optional): if you enable WhatsApp task capture, we store the phone number you provide and process inbound messages you send to our WhatsApp integration to create tasks.
• Website interest form: if you submit your email on balanceit.life, we store your name (if provided), email address, and message so we can follow up about the product.

Cookies and analytics

Our marketing website at balanceit.life uses Google Analytics (GA4) to understand how visitors use the site — for example which pages are viewed, how far a visitor scrolls, and which links or buttons are clicked. IP addresses are anonymized before storage. We do not use this data for advertising, and we do not sell it.

Analytics only run after you accept the cookie banner shown on your first visit. If you decline, no analytics cookies are set and no usage data is sent to Google. You can change your choice at any time by clearing your browser's local storage for this site.

AI-assisted features

If you use AI features (for example onboarding suggestions, screen filtering, or summaries), relevant portions of your prompts and app context may be sent to our AI provider to generate a response. Do not submit sensitive information you do not want processed for that purpose.

Photos and screenshots (Premium, where enabled). If you choose a photo or screenshot in Add Task, your device shrinks it and re-saves it without its embedded location and camera details, then sends it to us and on to our AI provider so BalanceIt can find possible tasks in it. We process the image in memory and do not store it. Codes, passwords and similar sensitive content are screened out of the results. Nothing becomes a task until you choose it. If you pick “Review later”, only the task title and a short excerpt are kept in your Inbox: unreviewed items are deleted after 14 days, and the excerpt of a reviewed item is cleared after 7 days. Do not submit images containing information you do not want processed for this purpose. The AI provider handles the image under its own terms.

How we use information

We use the information above to:

• provide, operate, and improve the Services;
• authenticate you and keep your account secure;
• sync your data across web, mobile, and desktop clients;
• send optional push or WhatsApp notifications you configure;
• respond to support requests and product-interest messages;
• comply with law and enforce our terms.

We do not sell your personal information.

How we share information

We share information only as needed to run the Services, including with:

We may also disclose information if required by law, to protect rights and safety, or in connection with a merger or acquisition where the successor is bound by this policy.

Data retention

We keep your information while your account is active and as needed to provide the Services. You can permanently delete your app data from Settings → Delete all my data in the web app (also available inside the mobile and desktop clients, which load the same application). That removes tasks, projects, labels, tracker logs, reviews, activity, and related content but keeps your sign-in account so you can start fresh.

To delete your whole account, use Settings → Delete my account. We email you a verification code and keep a short grace period in which you can cancel. When the deletion runs, we delete your sign-in identity and everything your account owns, revoke our access to connected Google services (Gmail, Calendar, Drive, Fit) where Google allows it, and stop future subscription charges. You can also email support@balanceit.life.

What remains after deletion: security and audit records that contain no content of yours, and the invoices and tax records our payment processor is legally required to keep (we remove our own copy that is linked to your account). Encrypted backups may persist for a limited time until they are overwritten in the normal backup cycle.

Security

We use industry-standard measures such as HTTPS in transit, access controls, and server-side protections. No method of transmission or storage is completely secure; use a strong Google account and keep your devices updated.

Children

The Services are not directed to children under 13 (or the minimum age required in your country). We do not knowingly collect personal information from children. Contact us if you believe a child has provided us data.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or export your data, or to object to certain processing. To exercise these rights, contact support@balanceit.life. We will respond within a reasonable time.

• Push notifications: disable in iOS/Android system settings or in BalanceIt settings.
• WhatsApp capture: disable in Settings or remove your saved phone number.
• Google sign-in: revoke BalanceIt in your Google Account permissions. That does not delete BalanceIt content you already created.
• Google Drive, Calendar, Gmail, or Fit: disconnect that integration in Settings. Then revoke BalanceIt in your Google Account permissions if you want Google to drop the grant as well.
• Settings → Delete all my data removes the app content described under Data retention and the local Google Fit connection record. It keeps your sign-in account. It does not disconnect Gmail, Calendar, or Drive, and it does not delete Capture Inbox items. Disconnect those integrations separately, or delete your whole account from Settings → Delete my account.

International users

Our servers and service providers may process data in countries other than your own. By using the Services, you understand your information may be transferred and processed in those locations, with safeguards appropriate to the service.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated in the app or by email where appropriate.
